Our Opportunity:

Advisor Services is the leading provider of custodial, trading, technology and practice management to registered independent advisory firms. We provide access to sophisticated wealth-management services that help advisors attract and retain affluent clients, as well as profitably grow, compete and succeed in their business efforts.

What you’ll do:

Manage a complex executive calendar that includes scheduling meetings, video conferences, trainings (off-site and/or internal) and group events.

  • Plan, coordinate and manage extensive travel arrangements to include transportation, lodging, dining, conference rooms, etc.

  • Establish and maintain effective, cooperative and professional business relationships with all levels of management, employees and key business partners.

  • Draft and type correspondence, make copies, prepare binders, answer phone calls, direct inquiries to the proper party within the team, maintain office supplies, file and perform other clerical duties as needed.

  • Capture meeting notes and follow up on action items as appropriate

  • Assist with developing and updating complex PowerPoint presentations, Excel spreadsheets and documents in support of team activities.

  • Complete expense reports and assist with general travel and expense inquiries.

  • Assist operational teams in meeting the needs of our clients. You may be asked to deposit checks, make calls to clients and/or process other types of operational work depending on the need.

What you have:

  • Bachelor's degree preferred

  • 5+ years administrative experience supporting a senior executive

  • Advanced proficiency in Microsoft Office and demonstrated strength in developing complex PowerPoint presentations

  • Ability to exercise exceptional judgment regarding information which may be confidential or material, non-public

  • Demonstrated strength with multi-tasking and prioritizing work with a strong attention to detail

  • Excellent planning, organizational, written and verbal communication skills

  • Positive attitude, enthusiasm, professionalism and strong work ethic with high level of integrity and ethics

  • Be client service-focused with the ability to work collaboratively with others including interaction with internal and external contacts

  • Exercise discretion combined with poise and professionalism in all communications

  • Be adaptable, build rapport, be solutions oriented, and look for ways to add value and assist the team
