Our Opportunity:

The Executive Assistant is responsible for accurately providing administrative and clerical support in a timely manner to the SVP in Corporate Risk Management, located in San Francisco.

What you’ll do:

  • Facilitate internal and external communication. Produce or edit PowerPoint presentations for the team and get involved in other aspects of the team’s functions such as collecting and tracking documents or cross-checking data against source documents. .

  • Meeting planning/facilitation for local social events, meetings, and trainings.

  • Manage expense reports, travel and procurement of supplies, partner with vendor management for invoice processing and check requests.

  • Calendar management, scheduling meetings/calls for internal and external participants. This includes complex calendar management that involves multiple attendees and locations. Work with Administrative staff to coordinate scheduling for Senior Leaders.

  • Manage new employee onboarding process to include coordinating interview schedules, candidate travel, secure seating, procurement of supplies and technology and ensuring the new hires completion of required training and certifications.

  • Demonstrate Schwab culture as a representative of the team. Develop and maintain strong working relationships with other employees within the organization.

  • Act as a back-up to other administrative assistants and assist with special projects as needed.

What you have:

  • 5+ years of administrative assistant experience in a large corporate environment, preferably in financial services industry.

  • Bachelor’s degree (preferred), or equivalent experience.

  • Strong organizational and administrative skills, as well as a high degree of accuracy and attention to detail.

  • The ability to handle sensitive and confidential information with diplomacy and discretion.

  • The ability to manage multiple and changing priorities, while maintaining a flexible, positive and professional attitude.

  • High level of proficiency in PowerPoint, Word, Excel, Outlook and Visio

  • Demonstrated excellent verbal and written communication.

  • Strong time management, planning and scheduling skills

  • Ability to develop and maintain strong partnerships within and outside the organization

  • Resilience in a client-centered business model, where adaptability and communication skills are key
